Executive Assistant to Chief Executive Officer

CEO Assistant is a dual-role position responsible for managing human resources functions while providing direct administrative and executive support to the CEO. The role covers HR operations such as recruitment, employee relations, payroll coordination, and compliance, in addition to handling CEO-related scheduling, communication, and coordination activities. This position plays a key role in ensuring smooth HR processes while enabling executive focus on strategic leadership and business growth.

Must Have

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 2–4 years of experience in HR operations and executive .
  • Strong knowledge of HR practices, labor laws, and recruitment processes.
  • Excellent organizational, time management, and multitasking skills.
  • Proficiency in MS Office and HR software (Odoo ERP is an advantage).
  • Strong written and verbal communication skills in English (Arabic is a plus).
  • High level of confidentiality, integrity, and professionalism.

Nice to have

  • Experience working in logistics, freight forwarding, or fast-growing companies.
  • Experience supporting senior management or C-level executives.
  • Experience with HR reporting and documentation.
  • Familiarity with compliance and internal audit processes

Responsibilities

  • Manage end-to-end recruitment including job postings, screening, interviews, and onboarding.
  • Maintain and update employee records in line with HR policies and labor laws.
  • Coordinate payroll, attendance, and leave management with the Finance team.
  • Support training programs, performance evaluations, and employee engagement initiatives.
  • Ensure compliance with labor regulations and internal HR policies.
  • Manage the CEO’s schedule, appointments, and travel arrangements.
  • Prepare meeting agendas, presentations, and minutes for executive meetings.
  • Draft, review, and organize internal and external correspondence on behalf of the CEO.
  • Coordinate communication between the CEO and internal departments.
  • Handle confidential information with professionalism and discretion.
  • Assist in organizing company events, meetings, and workshops.
  • Act as a point of contact between management, employees, and external partners.
  • Support business reporting, documentation, and compliance activities.
  • Contribute to building a positive workplace culture through HR initiatives.

Employee Relations & Executive Support

  • Act as a primary point of contact between employees, management, and the CEO

  • Ensure clear and timely communication across departments and leadership

  • Support employee relations by handling inquiries, coordination, and follow-ups

  • Provide professional administrative and organizational support to enhance daily operations
